The Three Corporate Time Traps

 I always love to be on time, whether it’s an appointment or a meeting. Recently a friend of mine asked me an interesting question, ” Can we manage time? “. My answer was simple, ” No, we can’t manage time, but we can manage ourselves “. The 86,400 seconds in a day may sound like a lot, but they go fast. No matter how quickly time seems to fly for us, even the most skilled time manager’s hours, minutes, and seconds tick by at exactly the same rate.
 The questions is, Why do some people manage their time so effortlessly, while others are always behind? How can we stay on top of dead-lines when obstacles crop up right and left?
I believe, skillful management of our time is not superficial but fundamental. Instead of aimlessly allowing external events and pressures control us, it’s time for us to make deliberate choices about our use of time.
Let me share an interesting topic today from the corporate perspective.
The Telephone, Computers & Internet were supposed to make life easier; instead, all of us are busier than ever. We conduct meetings at office for better planning & implementation of things but now a days we are always busy with meetings. I fear, we all got into three major corporate time traps – E-mail Distractions, Phone Interruptions & Poorly Run Meetings!

Can we avoid, E-mail distractions, Manage our Telephone calls & Meetings ? I am sure this can save us lot of time to do things we love at work & home. Here are some tips for creating a little more time in your life each day:

 1) Avoiding E-mail Distractions
 > Delete junk E-mails right away
 > Don’t read every E-mail right away. Read the ones which needs immediate action
 > Designate a specific time of the day to read E-mails
 > Respond to E-mails promptly
 > Don’t let E-mails accumulate & clutter
2) Managing Telephone Calls
 > Plan your telephone strategy in advance
 > Don’t answer the telephone until you’re ready to
 > Return the telephone calls at a pre-designated time of the day
 > Ask callers politely to get to the point
 > Write out your talking points before you call
3) Managing Meetings
 > Don’t call a meeting unless you have a good idea of what you want to achieve
 > Consider carefully who should be invited to the meeting
 > Cancel the meeting if key decision makers can’t be present
 > Don’t plan the agenda at the beginning of meeting; prepare & distribute it in advance so people arrive focussed.
 > Start the meetings on time
 > Don’t wait for latecomers to begin the meeting
 > Do keep a track of time and ensure all items in the agenda are discussed
 > Do end the meeting on time

” Time is the substance of our lives,” writes Alexandra Stoddard in her book, Time Alive. She explains that, we don’t create time in our lives but instead ” create our lives in time.” It goes with out saying, managing our time will positively affect our daily output, our career, financial goals, and, ultimately, our success.

Time to manage our time, sorry manage ourselves!

Before we try to expand it, we need to first define it. What is influence? What does it mean to you?

Before we try to expand it, we need to first define it. What is influence? What does it mean to you?

Dictionary.com says influence is: (Noun) The capacity or power of persons or things to be a compelling force on or produce effects on the actions, behavior, opinions, etc., of others. (Verb) To move or impel (a person) to some action.  Bestselling author John Maxwell says, “Leadership is influence, nothing more, nothing less.”

If Leadership is influence then the reverse must also be true, influence is leadership. Or is it? I’d add influence is only leadership when that influence is leading someone towards a positive destination or outcome.

  After all, influence can go two ways. It can be positive or it can be negative. It can be self serving and manipulative or it can be liberating and uplifting.

Our thoughts and our actions determine which it will be.

Influence comes from more than just our intention to lead or the words that we say as we instruct those who follow, it comes by what people experience and see in us each day. It comes by example and is often witnessed then repeated.

While there are many ways to expand influence, here are 14 various ideas that I believe are a good start:

• Understand It : First you have to recognize that regardless of your position, you have influence into the lives of those around you. Sometimes we never realize the impact we have on others directly or indirectly but recognizing that we do and conducting ourselves accordingly is key.

• Be a Person of Integrity and of Values : Let who you say you are be reflected in all that you do. Stay consistent. Don’t take short cuts. Make a stand for your brand and give others an example to follow. Values determine your actions which ultimately determine your influence.

• Be Authentic and Transparent : Don’t put on a show. Be real. Be honest. Trust is built that way and trust amplifies influence.

• Accept Responsibility : Don’t make excuses. If you are at fault, accept the blame and do it proactively. Being a leader doesn’t mean being perfect. Learn from mistakes and show others the way.

• Be a Solution Seeker : Don’t sit around complaining about what doesn’t work or about all the problems around you, instead seek solutions. People are attracted to solution seekers and by being one you will help influence others towards a new perspective.

• Be Proactive : Don’t sit around expecting someone else to take the lead. If you want to create positive influence then step out. Be the one who generates new ideas, who takes a risk, and who creates movement towards a desired future or outcome.

• Practice Empathy : Take the time to understand the feelings of others. What motivates them? What do they care about? They won’t care about you and your ideas unless you care about them in return. But here’s the deal… it must be genuine. You really have to care. People are more important than numbers.

• Appreciate & Recognize Others  : A simple THANK YOU goes a long way in person and even further when done publicly. Choose to recognize the efforts of others and lift them up as shining examples for others to see. By doing so you are influencing others by reinforcing what works and what was done right. We all want to be valued and appreciated.

• Respond vs React : People are watching. While you can’t always control your circumstances, you can control how you respond to them. How you respond is what others see. Don’t react, slow down, take a second and think through your options. When you respond you do so considering the outcome.

• Bring Out the Best in Others : This should be a no brainer but in order to avoid influence that is self serving and manipulative, you must leverage your influence more for the good of others than for yourself. Pour into those who follow you. Use you influence as a catalyst to spark something bright within someone else. You might see potential in them that they do not. Help them bring it out.

• Practice the Golden Rule : Treat others the way you want to be treated. Don’t just read over this as a nice ideal. Put it into practice. If you want grace extended to you, extend it to others. If you want someone to respect you, respect them. It’s reciprocal and it sets an example.

• Be a Giver : Don’t hoard what you know, share and equip others so that they can build upon the knowledge you’ve acquired. Give freely, give often. Show the way.

• Go Above and Beyond : Good enough is really not that good at all in many situations. Hold yourself to a higher standard and watch that standard trickle down to others. When we raise the bar by our own actions, we end up challenging others to do the same. Give a little more (time, effort, etc.) and perhaps you’ll encounter those around you giving a little more as well.

• Have Vision : Proverbs says “Where there is no vision, the people perish.” This is imperative if you are trying to intentionally influence others. You have to know where you are going in order to get others to go there with you. Be clear. Set expectations. Communicate.

Influence is not just one thing. It’s the sum of many and it’s built over time. As Andy Stanley says, “Leadership is a stewardship … it’s temporary and you’re accountable.” If we are accountable for our leadership, a.k.a. “our influence,” then we should do everything we can to make that influence count.

Steps of Becoming Succesful

Who doesn’t want to strive and become successful? Exactly, no one. Deep inside all of us, we have our own personal reasons for striving for success, and really, we all define success in very different ways whether it is for financial freedom or mere sense of accomplishment.

When you go to the bookstore, there is a reason that there are six thousand different books proclaiming to know the recipe for success; it’s one of the most sought after things on the planet. Ironically, we tend to think that the most complicated solutions are the most effective and we subsequently ignore the simple facts.

Simplicity is what makes everything possible and with every great feat, there were hundreds of small, simple decisions that had to take place first.

Look at Google and their simplistic homepage; did simple work for them?

In this article I am not going to break some earth-shattering news or reveal a 10-step program to success. Instead, I want to refresh your brain a little, tip some simplistic approaches and get you back to basics. The simplest things are easily forgotten, have some of these fallen from your scope?

Let go of the past. Act and apply in the present and shape up the future

  • Do not try. Just do it.
  • Make a list of your dreams. No matter how hard they might be to achieve, just sit down and write all your dreams down.
  • Make a list of your goals and think how you can achieve them
  • Use negative feedback and criticism to your advantage and better yourself
  • If you want to be successful in someone else’s game (if you have a boss), play by their rules or create your own game.
  • Make a list of your values. What do you value most and build your success upon them
  • Your success depends on your failures as well as your achievements.
  • If you are in doubt let someone else do it. Doubtfulness is saying I almost believe it. If you don’t fully believe it, leave it for someone else who does
  • Avoid interruptions during your productivity time. Whatever it might be, work or family or some alone time, interruptions can throw you off for whatever it is you are doing.
  • Determine your peak performance hours. Work at a point in day when you feel like you are most effective.
  • Breath deeply and let go off any stress.
  • Rest and relaxation plays as much an important part as exercise itself.
  • Do not worry. All it does is gets you ready for negative outcomes.
  • Think happy thoughts and there will be positive outcomes.
  • Do not step back from the job at hand when fear subsides in you.
  • Use your brain not only your heart.
  • Eliminate emotions by letting go off the past and thinking about the present.
  • What has happened in the past will most probably stay the same; you can’t change it. Instead focus on the present and live today instead of yesterday.
  • Don’t let the time control you. You control the time.
  • Time management is the most effective tool you can utilize and become successful.
  • Create strategies and build credibility among your peers.
  • Once again, forget the past and live it up in the present.

Changes are Good

Chances are good that, at some time in your life, you’ve taken a time management class, read about it in books, and tried to use an electronic or paper-based day planner to organize, prioritize and schedule your day. “Why, with this knowledge and these gadgets,” you may ask, “do I still feel like I can’t get everything done I need to?”

The answer is simple. Everything you ever learned about managing time is a complete waste of time because it doesn’t work.

Before you can even begin to manage time, you must learn what time is. A dictionary defines time as “the point or period at which things occur.” Put simply, time is when stuff happens.

There are two types of time: clock time and real time. In clock time, there are 60 seconds in a minute, 60 minutes in an hour, 24 hours in a day and 365 days in a year. All time passes equally. When someone turns 50, they are exactly 50 years old, no more or no less.

In real time, all time is relative. Time flies or drags depending on what you’re doing. Two hours at the department of motor vehicles can feel like 12 years. And yet our 12-year-old children seem to have grown up in only two hours.

Which time describes the world in which you really live, real time or clock time?

The reason time management gadgets and systems don’t work is that these systems are designed to manage clock time. Clock time is irrelevant. You don’t live in or even have access to clock time. You live in real time, a world in which all time flies when you are having fun or drags when you are doing your taxes.

The good news is that real time is mental. It exists between your ears. You create it. Anything you create, you can manage. It’s time to remove any self-sabotage or self-limitation you have around “not having enough time,” or today not being “the right time” to start a business or manage your current business properly.

There are only three ways to spend time: thoughts, conversations and actions. Regardless of the type of business you own, your work will be composed of those three items.

As an entrepreneur, you may be frequently interrupted or pulled in different directions. While you cannot eliminate interruptions, you do get a say on how much time you will spend on them and how much time you will spend on the thoughts, conversations and actions that will lead you to success.

Practice the following techniques to become the master of your own time:

Carry a schedule and record all your thoughts, conversations and activities for a week. This will help you understand how much you can get done during the course of a day and where your precious moments are going. You’ll see how much time is actually spent producing results and how much time is wasted on unproductive thoughts, conversations and actions.
Any activity or conversation that’s important to your success should have a time assigned to it. To-do lists get longer and longer to the point where they’re unworkable. Appointment books work. Schedule appointments with yourself and create time blocks for high-priority thoughts, conversations, and actions. Schedule when they will begin and end. Have the discipline to keep these appointments.
Plan to spend at least 50 percent of your time engaged in the thoughts, activities and conversations that produce most of your results.
Schedule time for interruptions. Plan time to be pulled away from what you’re doing. Take, for instance, the concept of having “office hours.” Isn’t “office hours” another way of saying “planned interruptions?”
Take the first 30 minutes of every day to plan your day. Don’t start your day until you complete your time plan. The most important time of your day is the time you schedule to schedule time.
Take five minutes before every call and task to decide what result you want to attain. This will help you know what success looks like before you start. And it will also slow time down. Take five minutes after each call and activity to determine whether your desired result was achieved. If not, what was missing? How do you put what’s missing in your next call or activity?
Put up a “Do not disturb” sign when you absolutely have to get work done.
Practice not answering the phone just because it’s ringing and e-mails just because they show up. Disconnect instant messaging. Don’t instantly give people your attention unless it’s absolutely crucial in your business to offer an immediate human response. Instead, schedule a time to answer email and return phone calls.
Block out other distractions like Facebook and other forms of social media unless you use these tools to generate business.
Remember that it’s impossible to get everything done. Also remember that odds are good that 20 percent of your thoughts, conversations and activities produce 80 percent of your results.

Small step will increase your business 

A stagnant business is one that has a limited future. While increasing the size of a small business can lead to growing pains along the way, it is a necessary step if you want your company to succeed and stay competitive. Without growth and change, a company can languish and never reach its full potential. Growing a business takes time, especially if you are bogged down with day-to-day operations, but taking the time to increase company growth benefits you in the long run.

Step 1
Answer customer needs with new products. Your customers are your best source for tips on what products they need and the direction you should take your company. Listen to their suggestions and solicit their opinions to find out how you can either improve your current product line or expand it.

Step 2
Try new advertising venues, such as getting into online advertising to expand your company’s reach and increase your global or national footprint.

Step 3
Add new employees and equipment when you need them. One of the biggest reasons companies experience growing pains when they are expanding is due to short staffing or a failure to add new equipment to keep up with demand. While you don’t want to overextend, monitor current demand levels and determine if your current workforce can handle it. If not — it’s time to hire new employees.

Step 4
Explore new territories if you already have business sewn up in your local area. Study the market and the competition and open a new location nearby or take your business online to expand your global horizons. Don’t be afraid to take risks when it comes to expansion.

Step 5
Form a strategic partnership if you need to expand and do not have the necessary funds or resources. Contact other businesses related to what you do and explore options that benefit you both.

Management is both art and science

It is the art of making people more effective than they would have been without you. The science is in how you do that. There are four basic pillars: plan, organize, direct, and monitor. Management is a universal phenomenon. It is a very popular and widely used term. All organizations – business, political, cultural or social are involved in management because it is the management which helps and directs the various efforts towards a definite purpose.  “Management is an art of getting things done through and with the people in formally organized groups. It is an art of creating an environment in which people can perform and individuals and can co-operate towards attainment of group goals”. According to F.W. Taylor, “Management is an art of knowing what to do, when to do and see that it is done in the best and cheapest way”. Management is a purposive activity. It is something that directs group efforts towards the attainment of certain pre – determined goals. It is the process of working with and through others to effectively achieve the goals of the organization, by efficiently using limited resources in the changing world. Of course, these goals may vary from one enterprise to another Management involves creating an internal environment: – It is the management which puts into use the various factors of production. Therefore, it is the responsibility of management to create such conditions which are conducive to maximum efforts so that people are able to perform their task efficiently and effectively. It includes ensuring availability of raw materials, determination of wages and salaries, formulation of rules & regulations etc. Therefore, we can say that good management includes both being effective and efficient. Being effective means doing the appropriate task i.e, fitting the square pegs in square holes and round pegs in round holes.

5 ways to set up your team for success 😀

1. Start before your team does. The first order of business is to clarify project objectives – before sitting down with your team. This step, vital to successfully completing the project, is likely to be dictated by a customer or, for an internal initiative, by your company’s management. Next, create a resource plan that details budget, hours, the number of people and required skills to tackle the work. The resource plan/budget may be broad at the beginning, and it will grow increasingly granular over time.

Many people on your team may work only part time for the project, stealing time away from their regular responsibilities. In that case, talk to their individual supervisors before the project begins to reach an understanding about the share of each team member’s time that the project needs. If possible, put your understanding in writing, if only in an email to the other manager after you meet. These understandings won’t eliminate conflicts between a team member’s day job and your project, but they can help resolve them more quickly.

2. Clarify roles and expectations. Before the team’s first meeting, reach out to begin a relationship with each individual team member. This gives you a jump on the team-building at the first meeting, and helps you assess talent and get to know your co-workers better if you don’t already. As project manager, your role is to make the lives of team members easier. While they are working on their individual tasks, clear obstacles from their path, fend off recalcitrant dissuasions, help them to meet deadlines, identify bottlenecks and advocate for more resources or time to get the job done.

For a project that involves both business people and IT (or other technical folks), make sure that both sides share the same goals. Too often different agendas from incompatible expectations impede project progress. If your project team is global, remember that different regions are not only in different time zones but have different cultures and ways of communicating. You probably can’t change anything, but at least you can understand the potential implications.

3. Set the right tone. As project manager, you play a huge part in defining the work tone of your team, especially at the beginning. Address your team in a way that makes a positive, team-building impact; negativity can poison a team’s mood and effectiveness. Instead, strive for an upbeat team spirit, a “We deliver as one” team attitude.

And don’t forget to have a sense of humor – a fun, natural joking style (that’s appropriate) can diffuse a stressful situation and help get the most out of team members by relaxing them a bit. Set an example of focusing on solutions, not problems – it can go a long way in maintaining an optimistic and constructive atmosphere.

4. Model right behaviors. Show your team how you expect them to work with your own good work habits. After all, actions speak louder than words. When obstacles arise, as they will, overcome them calmly and openly so others learn the right way to respond to difficulties. To maintain a sense of balance and calm, have a life outside work. There might be times when you have to work overtime, an occasional project push, or to support team members working to stressful deadlines. If your project uses online project management software, set an example by using it the way you want your team members to use it. This is the best way to establish a habit for your team.

5. Deal with individuals. Don’t manage with a one-size-fits-all approach. Some people need hand-holding, others hate it, and others like a combo. Some team members respond to a kick in the seat, others go into a mild depression. Model yourself on a high school basketball coach who boldly encourages some players to stretch themselves, takes an intellectual approach with cerebral athletes, and challenges others to the point of annoyance—and better efforts. A cookie-cutter approach to team management won’t work.

The most powerful word in the English language is “Why.” There is nothing so powerful as an open, inquiring mind. Whatever field you choose for starting a business – be a lifelong student.

The world is full of people who have stopped learning and who think they’ve got it all figured out. You’ve no doubt met some of them already – and you’ll meet plenty more.

Their favorite word is “No.” They will give you a million reasons why something can’t be done or shouldn’t be done.

Don’t listen to them, don’t be deterred by them, and don’t become one of them. Not if you want to fulfill your potential – and not if you want to change the world for the better.

India a global leader

‘I would like to change mindsets and break away from the stereotype; it is time for a new vision, new faces, new hope and new politics to take India forward,’.

What I love most about My country is the energy, enthusiasm and the diversity of talent of 84 crore (840 million) young Indians under the age of 35 years. It is the biggest potential we have to make India a global leader. We must engage and empower our youth to realise their dreams and aspirations.

India is a country where there is a harmonious co-existence between tradition and innovation.Change is on the horizon and we need to walk that road together. Our services sector, especially the IT (Information Technology) sector, Cricket and Bollywood have clearly put India on the global map.

I wish I could say the same about our manufacturing sector. We have failed to make India a manufacturing hub.

Scams, policy paralysis and indecisive leadership is not helping to re-ignite the India growth story. Our government has failed us, not only in terms of short-sighted policies but also in terms of a weak leadership.

The economy is in the doldrums, big ticket projects and reform are unlikely to see the light of day. Our roads are unsafe for women and we are weak on national security.

Inflation, price rise, farmer suicides, lack of affordable educational facilities and unemployment are just a few of the problems that plague India. Our youth is looking for accountability and transparency from those in government, but all they get in return is silence.

At the national level we need to make education, employment and empowerment of the masses an imperative and invest in our youth for a better tomorrow.

Engagement with the youth, inviting new ideas and giving them a platform to raise their voice is a priority for me.
In own state Some are engaged in honouring our ex-servicemen and have initiated a project to build a war memorial to honour their courage and sacrifice.

We also plan to invest in the youth by building a centre of arts and excellence wherein we will invite artists from theatre, music, film and other performing arts for training.

And the fact is “a developed country is not a place where poor have cars, it is where the rich can use public transportation.” and always Vote for nation.

Plan your Goals

We all have dreams of finding fame and fortune and winning the respect and admiration of others. To make our dream come true, we need to set specific, measurable goals with realistic, achievable deadlines. The same is true in any developing economy. Goals are important for at least four reasons

1. Goals provide a sense of direction: Without a goal, the managers of a developing economy tend to muddle along, reacting to environmental changes without a clear sense of what they really want to achieve. By setting goals, they bolster their motivation and gain a source of inspiration that helps them overcome the inevitable obstacles they encounter.

2. Goals focus our efforts:  Every person and every organization has limited resources and a wide range of possible ways to use them. In selecting a single goal or a set of related goals, we establish priorities and make a commitment about the way we use our scarce resources. This is especially important in a developing economy, where the managers must coordinate the actions of many investors of diverse origins.

3. Goals guide our plans and decisions: What we set, as goals will shape both our long-term and short-term plans and help make many key decisions. Managers in a developing economy face similar decisions, which are clarified by asking, What is our goal? Will this action move us toward or away from our organizational goal?

4. Goals help us evaluate our progress: A clearly stated, measurable goal with a specific deadline becomes a standard of performance that lets individuals and managers alike evaluate their progress. Thus, goals are an essential part of controlling the process of making sure that actions are in keeping with goals and the plans created to achieve them. If we find we are straying off course or if we encounter unforeseen contingencies, we can take corrective action by modifying our plan.

HOW WOULD WE LIKE TO BE REMEMBERED ?

About a hundred years ago, a man looked at the morning newspaper and to his surprise and horror, read his name in the obituary column. The news papers had reported the death of the wrong person by mistake. His first response was shock. Am I here or there? When he regained his composure, his second thought was to find out what people had said about him. The obituary read, “Dynamite King Dies.” And also “He was the merchant of death.” This man was the inventor of dynamite and when he read the words “merchant of death,” he asked himself a question, “Is this how I am going to be remembered?” He got in touch with his feelings and decided that this was not the way he wanted to be remembered. From that day on, he started working toward peace. His name was Alfred Nobel and he is remembered today by the great Nobel Prize.

Just as Alfred Nobel got in touch with his feelings and redefined his values, we should step back and do the same.

What is your legacy?, How would you like to be remembered?, Will you be spoken well of?, Will you be remembered with love and respect?, Will you be missed?

If you ask most people what is their one major objective in life, they would probably give you a vague answer, such as, “I want to be successful, be happy, make a good living,” and that is it. They are all wishes and none of them are clear goals.

Life Goals must be SMART & CLEAR
